Project Summary

This Web-based system will emerge the paradigm of NED University of Engineering & Technology. The manual system is messy and time consuming with lack in efficiency. The main objective of this project is to engage all parties in one collaborative online system systematically as a medium in exchanging information for Final Year Project based on OBE (Outcome-based education) system and develop an online system that can reduce the workload of the FYP Committee as well as a guideline for students in managing the work flows of the Final Year Project.  Besides reducing the workload, it also hastens the steps and makes the data organized.

The working processes of Final Year Project are very tedious and required a lot of manual works. These processes include the “Project Title Proposal Compilation”, “Supervisor Assignment”, “Grade Entry” and “Reports Generation”. The management of these processes needs a lot of manpower and all of them are time consuming. Therefore, a proper management in the work flows is very important. In order to manage and reduce the work processes, FYP management system has to be developed to hasten the work processes of the project. The main purpose is to reduce the time taken during the processes and save cost by reducing the unnecessary paper works. Besides saving the manpower in performing the processes, the steps in the work flow can be reduced as well.

Project Objectives

Here is the list of the most prominent objectives of the project (short-term goals)

  • To develop an online system that is systematic based on OBE system
  • To design the architecture of the system and its functionalities 
  • To setup the cross-platform and server environment
  • To test the reliability of the system

      

Once implemented, the system aims to solve the following problems (long-term goals)

  • Digitize the entire FYP management system
  • Implement this system in NEDUET first and later on, all the universities across Pakistan
  • A similar approach can be used for the management of semester projects as well

Project Implementation Method

All the supervisors will be asked to send their proposed titles as well as students’ group information. Meanwhile, the FYP committee obtains the students’ names from the Project lecturer during the week 1.

After that, all the supervisors are required to fill up the student undertaking form. The form contains supervisor’s details and they have to fill in the form with the student’s name which they are supervising. Once the form had been filled up, supervisor will send it to the assigned FYP committee to compile and merge the records into a single repository. The FYP committee checks for the name of the students who do not have a supervisor through the student-supervisor list.

If there is any student who do not have a supervisor, the FYP committee will assign a supervisor to the students based on the supervisor’s workload. The FYP committee will notify the students and the supervisors in which they are being assigned.

Next, the process of grade entry will take place; Since the OBE system has been introduced, marking and grading takes place on the basis of rubrics defined by OBE system. This system will have soft coded these rubrics time to time according to the required changes and enhancements.

Supervisors will give grades to the students after their presentation. This can also be done by a mobile application module for grading of students. The grades will be submitted by the supervisors for record keeping. Later analysis reports can be prepared by searching the database and perform retrieval in the records.

Online system has been doing a very good task in eliminating the need of hardcopies, spaces, protocols and time. Online system indicates the need of connection between the users and system. As one of the environment that involve a large number of participants, information, and resources, NEDUET also tend to benefit from the use of a time-efficient online management system. The exchange of information among Final Year Project coordinators, lecturers, supervisors, examiners and students need an effective communication medium to ensure that no misunderstanding or lack of information that will cause delay in the completion of projects. Thus, the FYP Online System is ideal since it provides the best solutions for the previous FYP management. This system is proposed as the need to enhance the process and management system efficiency.

Benefits of the Project

  • Compilation of Project Titles

In this module, Supervisors have to login with their username and password. After that, supervisor is able to go the “Register Project Titles” page. At that page, fill in the form with the details such as the supervisor name, room, email, project title, objective, innovative, deliverables, skill required, no. of student and student’s course.

  • Supervisor Assignment

The supervisor has to fill in the student’s details under his/her supervision such as the name, ID and course. After that FYP committee should be able to view the supervisor-student list to identify which student with no supervisor.

If a student is without supervisor, the student will be assigned to a supervisor based on the supervisor’s work load in both Projects. The FYP committee will also check the supervisor’s area of research too.

  • Grade Entry Based on OBE defined rubrics

Supervisor will go to the Grade Entry page which will be soft coded according to the rubrics provided by OBE system and view the student list under his/her supervision. Supervisor will then fill in the grade of the students and save the grade given.

  • Report Generation

Different types of analysis report can be generated; some of the report can show the overall performance of students.

For example, the number of students who get A’s in the Project, the lecturer who gave the most A’s, the total number of students who passed the Project and the number of students who failed the project.

  • Upload student record

FYP committee is able to upload the student record. The database will be automatically updated with the new students’ record.

  • Student Guidelines and Information:

This system will be offering the guidelines on the portal which will guide the students throughout the process of doing the project. The forms or templates which are required to attach to the report and submission will also be available for the students to download.

  • Reminder Email for Important dates:

A reminder email will be sent to each student for important dates defined by FYP committee e.g. Mid Evaluation, Final Evaluation etc, before 24 hours.

  • Cross Platform Module:

There will be a cross platform mobile application module for grading of marks as well. So it can be done through mobile or laptop as per the convenience of the user.

  • Guidelines and Information for Students:

This system will be offering the guidelines on the portal which will guide the students throughout the process of doing the project. The forms or templates which are required to attach to the report and submission will also be available for the students to download.
