Project Summary

Legal Operations Information System is a digital framework for organizing legal operations in such a way which will keep everything simplified and easily accessible for the attorneys by automating and centralizing the tools required for the management of their periodic functional operations and also to provide an existence in digital media thru referral system. This framework will provide facility to the lawyers to store all the details of the entered/accepted cases including basic case details, case files, case notes etc. and client’s information in the database and enable them to perform database transactions on the data stored. Provide lawyers and clients a facility to create and store a schedule plan for the events i.e., court hearings and meetings and set-up reminders for the upcoming events so that they won’t miss any important event, the facility for lawyers to store case supporting resources such as needed law books and case laws to access them at anyplace anytime, easy and instant contact with clients via real-time messaging, will provide a platform for online discussions with fellow lawyers and to provide online presence a way to get more clients, in short to integrate and automate all the legal practice tools on a single platform for managing day-to-day workflows. On the other hand, LOIS will also facilitate legal clients by enabling them to view all their case details and case related transactions carried out during the entire lifecycle of case, to connect or hire a lawyer instantly by sending a case request or an instant message to the lawyer, and to assist them to find a relevant lawyer that matches with their geographical location and legal need. The lawyers will get registration after approval process i.e., law firms’ leading will be the admin of this app/system who will approve licensed lawyers’ profiles/registration so that only licensed lawyers will get registered to the app. The admin will also add and modify courts and preferred practices. Furthermore, the app is only intended to automate day-to-day functional operations of the lawyers and not intended for other legal experts such as judges etc. and law firms can only approve licensed lawyer’s registration but can’t perform other firm’s operations such as reports generation, finance management etc.

Project Objectives

• To provide a platform that will increase the productivity of a Law Firms by automating the repeatable business processes to save time and to work efficiently.
• To market the practice of the Law Firms by increasing their productivity.
• To bring mobility, with a mobile phone a legal professional can run processes out of four walls .
• To give lawyers paper free offices which saves money and time plus effort of managing papers.
• To provide a way of succeeding clients: a way of getting more and satisfied/happy clients.
• Easy way of keep track of the payments remaining and cleared.
• To get the lawyers and clients stay notified about hearings and other events. Reduce the chances of missing a hearing.
• To give the lawyers an ability to consult with clients anytime and anywhere via online consultations.
• To give recommendation to the clients based on their current location and the type of case.

Project Implementation Method

Law/Legal Operations Information System comprises two parts: 1) cross platform applications and 2) admin’s web-based portal that generally based on law practice management system with all the tools that Law Firms need to run a better practice, from anywhere. Legal Operation Information System is a single platform that integrates and automates the front and back activities of legal practices including: billing, appointment scheduling, consultations, and more. The purpose is to streamline processes and position law firms and clients to work more efficiently.

Benefits of the Project

1. Proposed system will increase the productivity and improve efficiency of the lawyers by centralizing everything in a single software.
2. Enable attorneys to work from anywhere as long as they have a stable internet connection. Will replace traditional pen-and-paper system making legal offices paper free thus reducing legal spend and human effort.
3. Provide protection against data loss and a way to share information/stay connected with clients via messaging module.
4. Save time consumption and reduce human effort of the client in searching for an appropriate legal representative. 
5.  System is user friendly and secure as each user category can only access the information that is intended for them.

Technical Details of Final Deliverable

The app’s MySQL database system requires 64 bits operating system with modern file systems to run and it has slow development.

As Firebase Cloud Messaging (FCM) will be used for the real-time chatting, the app has a limit to store up to 100 messages without collapsing.

The app requires minimum API level 26 or iOS version 12 because of the implementation of card and listtiles.

This app calls for the full internet connectivity for the user to be able to utilize all the functions provided.

At this stage, there is no mechanism implemented for the backup of case/matter documents that may affect the availability requirement.

The full functioning of the app depends on the presence of internet access to all the interested users. It’s assumed that all the case transaction associated contents posted in the app thru the lawyer and the client are valid. No segment of the app is subject to the websites of any court.

Only the attorneys and clients will be accountable for the contents they have got posted. It is likewise assumed that every one of the lawyers who need to register with this app provide the confirmation of their identity to the administrator persona of the law firm i.e., only one admin of the system. Also, it’s assumed that payment is done expressly.

The system needs some third-party components including Google Cloud Storage bucket, Google Calendar API, MySQL server engine and services, and Firebase services and Java 11 JDK and Git for Windows (flutter’s dependency) for the development.
