Most of the institutions around the country are manually organizing/managing the documents which involve physical paper existence.  At present most of the Institution are suffering obstacles in document management due to using paper based or semi-automated systems. Storing and retrieving large numbers of paper documents has, in the past, been an onerous task. There is lack of a compact document management system. The documents are managed manually. There is a chance of misplacement and unavailability of documents when needed.  There is a need of an automated document management portal. The proposed portal will manage the official documents in a proper hierarchical manner. The proposed hierarchy will grow dynamically as required.  Document Management portal will provide organizations with an ability to create centralized repositories containing all of the unstructured data they generate. One of the most important aspects of document management systems is their ability to eliminate time-consuming physical searches for misfiled or lost documents. Powerful search and retrieval tools make this information easily available for use and collaboration across the entire enterprise. Document management portal provide a means for freeing up storage space and reducing the costs of paper document copying and distribution. Documents will be available all the time. They can be searched, insert and edited, more over a proper server backup will give us chance to restore and retrieve the data in uncircumstantial situations . EDMP will provide security and version control capabilities for documents. Document management system will provides secure document collaboration, sharing and archiving with context indexing, digital document notarization, electronic document filing and document publication. Documents will be accessible to only authenticated users through valid login.

Project Implementation Method

We will use followinh methods and technologies in our project.

CSS:Cascading Style Sheets. CSS is used to control the style and layout of multiple web pages all at once.

HTML:Hypertext Mark-up Language. It allows the user to create and structure sections, paragraphs, headings, links, and block quotes for web pages and applications.

PHP:Hypertext Pre-processor. PHP is a widely-used, open source scripting language.

MYSQL:MySQL is a relational database management system based on SQL – Structured Query Language.

HTTP:Hypertext Transfer Protocol (HTTP) is an application-layer protocol for transmitting hypermedia documents, such as HTML

HTTPS:HTTPS (Hypertext Transfer Protocol Secure) is an internet communication protocol that protects the integrity and confidentiality of data between the user's computer and the site.

UI:The user interface (UI) is the series of screens, pages, and visual elements—like buttons and icons—that enable a person to interact with a product or service.

2. You can also keep records and track any changes made to documents. Competitive business environment has encouraged business organizations to use various tools and resources to excel.
3. EDMP stores electronic documents in a file once they have been captured. These files are stored on computers and can be easily accessed by personnel with clearance. Moreover,

5. EDMP provides a flexible way of retrieving documents.
6. EDMP allows you to easily search your documents using keywords. As soon as you enter a search term, you will see a list of documents matching the term. This will help you access all kinds of documents in a matter of seconds.
7. With EDMP you do not have to spend a lot of time looking through files and folders.
8.  Once electronic documents have been stored in a document management system, people can make changes to documents.
9. EDMP allows you to view previous and latest versions of a single document. This way, you are aware of all changes that are made to your documents.
10. Users can even track people who have made changes to documents. This helps in maintaining a more trustworthy and productive work environment. 

Technical Details of Final Deliverable

1. The Electronic Document Management portal will be web-based system implementing client-server model and can be accessed using: Internet Explorer 8.0 and above, Mozilla Firefox 2.0, and Google Chrome.
2. The product is supposed to be an open source. The EDMP provides simple mechanism for users to store and retrieve documents whenever required.
