Customized App for Paperless Workflow in NED University
Project Area of Specialization Software EngineeringProject SummaryIn an era of digitalization, every organization is moving towards automation and striving to achieve more benefits through digitalization processes. By observing the benefits of digitalization, we have come up with an idea of paperless workflow environment in our NED University. Being the students of this university, we have observed that there is a need of digitalization when it comes to documentation, leaves or any circular which is acquired to go through several authorized entities for approval. In our proposed project, we are intended to develop an android application through which documents(QSP) can be created and moved at various levels and accordingly, users at each level can view, approve, reject, and add comments, to the respective document. Moreover, a technology of digital signature is also decided to be deployed on this project which will eliminate the need of document to be printed only for signatures. In addition, there will be no need of any extra employee to circulate the notices in each department just for the signature or approval of dean, chairman, etc. Teachers and other employees can also send their application regarding their respective concern online to the authorized person and can get it back with their signature.
Project ObjectivesFollowing are the prime objectives to develop this android application:
• To enhance the productivity of flow of information
• To increase the efficiency by simplifying the processes.
• Faster and reliable access of information from different departments of university.
• To eliminate the duplication of document.
• Decrease cost (administrative, communication, stationery. etc.).
• Decrement in response time, increment in speed of service.
• Reduce bulk of hard copies of files.
• Increase in security, no loss of files.
Project Implementation MethodSoftware Requirements:
• Android studio/ Visual studio code (Web Development IDE)
• MySQL Workbench (Database management in MySQL)
Hardware Requirement:
• Laptop (8GB for Development)
• Smart phone (for testing purpose).
• Internet connectivity.
Technologies:
Frontend: HTML, CSS, JAVAScript.
Backend: C# / JAVA.
- Teachers, employees and other staff members of university are predicted to get benefits from this app as their requests can get response on time and they won't need to wander to the offices of authorized entities to get the approval of their applications.
- Decreased response time, increasing the speed of service.
- Improve the work environment and organizational communications.
- Increased efficiency by integrating and simplifying processes
An efficient mobile app is expected through which teachers and other employees of university can send their applications to dean, chairman, Vice Chancellor for approval and can get back the signed application. App will offer the different formats of application forms for respective causes. User (teacher or other employees) only need to fill the form and transfer it to the respective person accordingly. Application can be sent to the multiple persons and each person is allowed to approve or reject the document and let the requested person acknowledge about it.
