Education is a very important part of daily life. A school is a place where students are educated. So, the school manages the students in a well-mannered way, so there is a need to manage the complex process of schools. The numbers of students and schools are increasing with each passing day. The Management of the school is concerned with the increasing effort in keeping the records of the students and recording their activities. The school also keeps the information of its employees.

The payroll generation of the employees of the school is presently outsourced and the Agency which handles this job charges a hefty sum for its services. With the increase in the number of employees in the school, this cost is likely to grow further in the future. The Management is very seriously thinking of a system that would be capable of handling the payroll generation activities.

The management is also thinking of opening new branches in other parts of the city. This will lead to an exponential growth in the problems being faced by the school authorities.

With an eye on the future, So I decided to shift to a computerized School Management and Information System which may keep the records of its students, employees and many other things may also be able to generate the payroll. Besides, it may be able to efficiently handle the Student Evaluation track and student feedbacks. The facility to take attendance, fee management, expense management, record examination activities, scheduling, and result & mark sheet generation is a desirable feature in the School Management and Information System

Project Objectives

This project is designed to achieve the following objectives:

I. The software should have a secure database to capture all the financial activities (fee, payroll, etc.) Proper receipt and bill generation facilities should be incorporated into the software.

II. The software must have a user-friendly interface and appealing appearance to ease the work of the end-users.

III. The software must be able to return the actual monetary status of the school, i.e., it must be able to say how much money has been collected in the account of fees and how much is yet to be received from the students.

IV. The new system must be designed to allow the school to record the details of its employees’ date of joining, full name, address, phone no., date of birth, etc.

V. The system should be able to generate monthly collection summaries, employees’ reports, etc. so that they could be used by the management authorities of the school for making decisions and deciding guidelines.

VI. The payroll system should be an integral part of the new system and it must generate salary statements (for specified period viz. Monthly, Annually, And Weekly) of all the employees of the school.

VII. Student evaluation by their Instructors and Teachers’ evaluation by the students is kept by most of the schools to keep monitoring the students’ behavior and teachers’ performance respectively. This facility must be incorporated into the new system.

VIII. The electronic processing of all examination-related activities is also required to be achieved by the system.

IX. The system should be error resistant and must operate reliably.

X. Security is another feature that must be designed in the system in such a way that any unauthorized access to the system is denied and a log of such activity generated.

XI. The photographs of students and employees should be kept in the database along with their general details.

XII. The student and teacher attendance activities must also be captured by the new system so that they could be analyzed in the future by the school administration.

Project Implementation Method

The sequential phases in the Waterfall model are –

Requirement Gathering and analysis ? All possible requirements of the system to be developed are captured in this phase and documented in a requirement specification document.

· System Design ? The requirement specifications from the first phase are studied in this phase and the system design is prepared. This system design helps in specifying hardware and system requirements and helps in defining the overall system architecture.

· Implementation ? With inputs from the system design, the system is first developed in small programs called units, which are integrated into the next phase. Each unit is developed and tested for its functionality, which is referred to as Unit Testing.

· Integration and Testing ? All the units developed in the implementation phase are integrated into a system after testing each unit. Post integration the entire system is tested for any faults and failures.

· Deployment of system ? Once the functional and non-functional testing is done; the product is deployed in the customer environment or released into the market.

· Maintenance ? There are some issues that come up in the client environment.

To fix those issues, patches are released. Also, to enhance the product some better versions are released. Maintenance is done to deliver these changes in the customer environment

Less time leads to keeping the institute focused on the productivity of the school.

The interaction happens over the application (online) where the teacher is available to answer queries of the students. It also facilitates a friendly atmosphere in academics.

School management software is basically a set of tools that lets the organization to smoothly run the institute. It is web/cloud based software, which connects the users. The users being the ones connected with the institute like - students, teachers, parents. The software includes various features right from maintaining the attendance to sending out progress letters to the parents.
