A Convocation Management System using RFID (CMS) is a system which uses RFID device where RFID tag is pinned on the graduate convocation robe. The process of the device is only needs the graduate to go through to the device or RFID reader antenna that placed when they walking along to the stage. Then. the device will automatically scan the tag that pinned on graduates robe. The system will read the data and display the name of the graduates at the main screen of the stage. The staff then announces the name of the graduates that was displayed on the screen. So, when there are absent graduates, the system can still be progress without the problems. The system can prevent staff from calling the name of graduates that did not come. with this system, it will manage the convocation event very efficient. On top of that, the wireless reader and System can be easily deployed at any place for any application, offering flexibility and portability.

Project Objectives

Our aims and objectives are as following:
To create convocation management system using RFID.
To avoid students calling they were not present during convocation. 
 To avoid human technical error in handling convocation session.
To make sure the screen will display the image, text and audio of graduate’s information by scanning RFID card.
To reduce time consume and the use of manpower to manage and set up the session.

Project Implementation Method

This system use low-frequency passive RFID instead of active RFID that can be functioning without battery which is less expensive.
Visual Studio is used for the framework to structure, plan and control the interface.
Database server is used to store the database and control the information received.
Creating a web application for convocation management system which is based on four phase which are as follows:
Web page for user bio data.
Entry block for verification, RFID card receiving and printing slip.
Convocation hall entry block for scanning RFID card.
Degree collection block for scanning RFID card to show user data on main screen.

Technical Details of Final Deliverable

The system that was developed and tested proved that RFID technology can be used to improve traceability in graduates data at low cost. Due to its simplicity in interface program and database management System and MS Excel, the System can be more affordable and implemented even by Small and medium scale industries. The project proved that traceability of a graduates data can be improved by applying RFID technology into its operation. It enables proceSs of data in an easier way. Besides that, the system demonstrated that manual Scanning would not be required Since RFID tag can be read without line-of-sight. It saves time and labour cost since the whole system operates automatically.
