Project Summary

The procedure of the entire scholarship process is still following the traditional file system. This can be challenging for both the ERFA (External Relationship & Financial Assistance) department and students as both encounter complex and tedious tasks.

The following are problems faced by the staff and students during the scholarship process:

1. All students might not be aware of the scholarship available in SZABIST.

2. Students have to manually fill out a very large form, if there is a mistake on the form then they have to refill a new form.  

3. The scholarship form and documents verification of each applicant is hectic for the scholarship department, as they need to verify whether the applicant has attached all the required documents or not, which takes an enormous amount of time.

4. Applicants are informed about the status of their application through a list posted on social media. Sharing such information on a social media platform is not a proper channel to communicate.

5. The data for the number of funds and scholarship grants, allocated for a particular scholarship program, is not readily present in the system. In order to manage and plan resources efficiently.

6. The scheduled interviews are long and cause students to wait up to extra four to five hours for their interview.

7. Interview panellists’ evaluation sheets can be displaced and lost as there is a large volume of papers involved. 

8. The previous year’s scholarship holder’s records review is laborious for the ERFA Department while allocating the scholarship percentage to a specific student. 

Project Objectives

To develop a fully automated PWA (Progressive Web Application) for SZABIST’s ERFA Department in order to cater for the needs of the whole scholarship’s process from announcements to the allotments of scholarships in a centralized manner. Hence, it would gradually save efforts and resources consumed during the student’s scholarship file submission, interview, and grant allotment.

Project Implementation Method

Following is how the problems are going to be tackled in this project:  

1. The students would be able to view the currently active scholarships as well apply to them based on their eligibility.

2. Students can fill out a scholarship form online, they have the option to recheck their application before submission. So, if they have made any mistake while entering their information, they can simply edit and save the form.

3. The documents will be checked and verified by the ERFA Department, if any documents are incomplete, the application will be paused by the EFRA administrator and the student will receive a notification to submit the incomplete document.

4. Each applicant will be informed about his or her application status at every moment through their student's dashboard.

5. The shortlisted interview students can apply for system-generated tokens on a first-come-first-serve basis.

6. The interview panellists would be able to post their evaluation feedback of the applicant on their dedicated panellist’s view. 

7. The previous record of the candidate will be archived in the database and the ERFA members can easily review it.

8. Students would have the option to reapply for the continuation of their scholarship but they need to update certain details and documents.

 

Benefits of the Project

The scope of this project is to automate the entire process of scholarship for the students and the ERFA Department. Students would be able to apply, fill out the form and upload the relevant documents online. These documents could be verified by the ERFA Department. The shortlisted students would be selected by the ERFA Department. These applicants will be allotted an interview date, subsequently, they have to apply for a token which will schedule a time slot for their interview. This is necessary, in order to avoid large queues and extra waiting time for students. Interview panel members will be able to post their remarks on the candidate on the panellist portal. The status of each stage will be notified to every applicant through their personal dashboard. An option of re-applying for the scholarship will be given to prior scholarship participants. 

Technical Details of Final Deliverable

The SLDC (Software Development Life Cycle) that the project would be following will be the Incremental Model because all the requirements are well-defined up front, and the features can be divided in order to support the rapid development process. 

A Progressive Web Application would be made by using MERN Stack Framework. It will be able to provide a smooth and transparent process for scholarship allotment. UI/ UX design would be made by using the ReactJS and Material UI libraries. The server-side would be done by using NodeJS and ExpressJS, while MongoDB would act as the database for the application.
